Application for Overseas Research Challenge / International Internship

0. Courses

In principle, students are encouraged to choose from among Overseas Research Challenge A, B or C.

1. Contents

<Overseas Research Challenge>

Students receive research guidance and study at foreign institutions.

<International Internship>

(1) Students go through work experience at foreign private companies or domestic companies operating overseas.

(2) Students receive research guidance at foreign private companies or domestic companies operating overseas.

*Except for those through participation in events such as summer schools

2. Dispatch destination

<Overseas Research Challenge>

Foreign Universities, Institutions, Laboratories, Test facilities, or similar institutions

* Students cannot choose your graduating university.

<International Internship>

Foreign private companies, Administrative organs, NPO, Organizations such as public interest corporations, Medical institutions, care and welfare facilities or similar institutions

* It is allowed for International students to be sent to their own countries both in Overseas Research Challenge and International Internship, while to be sent to other countries is more recommended.

3. Duration

(1) Approximately, it should include 8 hours per day, 5 days per week for working/research.

(2) If you apply for multiple internships, each of them must have each dispatch destination.

(3) You can include the time to participate in international conferences in the internship duration, if any.

(4) In case (3), you must submit a report on topics of the conference or a presentation you were interested in.
It must be written on “6. Outcome Report” mentioned below.

(5) Days for moving or waiting without any practical training cannot be in count of the duration.

4. How to decide the dispatch destination

Students determine a host company/institution under the guidance of supervisor.

5. Application procedure for credits acquisition

<Overseas Research Challenge>

Applicants must submit the designated form with supervisor’s approval by email
at least 2 months prior
to the starting month of Overseas Research Challenge.

<International Internship>

6. Outcome Report

Upon completion of the Overseas Research Challenge/International Internship, students must report to the supervisor in approximately 30 minutes long in an optional way. Then submit the Outcome Report to both the supervisor and the Educational Service Section promptly.

7. Grade assessment

After completion of grading result registration, students can check the score on the Gakumu system.

Grant for Overseas Research Challenge / International Internship

JAIST offers students the following Grants for internship based on the travel expenses regulation. The payment will be made after completion of all accounting procedures after you finish Overseas Research Challenge/International Internship. Students can use this grant program only once while in JAIST.

*Applicants must be noted to make an appropriate itinerary without any private waiting days before or after the Overseas Research Challenge/International Internship working days. In case of extra days included, it may result in out of grant eligibility.

Fees covered by the Grants

  1. Transportation fees (including a round-trip air ticket)
  2. Daily allowances and accommodation fees (in principle, up to 2 weeks) *For expenses exceeding 2 weeks, please consult with your supervisor in advance.
  3. Fees for vaccinations, visa and passport applications which JAIST recognizes necessary for the trip based on the travel expenses regulation
  4. Pre-trip travel expenses in connection with obtaining a visa

  4. Itinerary issued by a travel agency

** Applicants must submit above documents together with Application Form for Overseas Research Challenge / International Internship

Documents to submit after retern

  1. Accommodation certificate  Form(Internal Use Only)
  2. Boarding stubs, receipts or boarding certificates issued by airlines
    *In case that flight changes might occur and result in mismatch of description on boarding stubs and the Itinerary, you need to report the detailed reasons.
  3. Receipts of local buses/trains fare used oversea *Taxi fare will not be covered except for emergency use
  4. Credit card statement
    *Mandatory for the payment applicable to receipts submission required. Only cards in your name are acceptable.

** Successful applicants must submit above documents immediately after returning, by the end of March at the latest.

Others

In case of using a weekly apartment* instead of hotel accommodation, you shall be reimbursed for the actual cost of the weekly apartment for that period. The daily allowance shall be paid in accordance with the JAIST travel expenses regulation.

*A weekly apartment means not a lodging like hotel and inn but a residence like apartment and condominium, where you need to sign a contract when moving in, or an official accommodation facility or other similar accommodation facility.

  1. When using a weekly apartment for the internship with grant support, you need to submit the copy of lease agreement and the original receipt of rental payment.
  2. Comparing the actual cost of a weekly apartment with the accommodation fee for the period according to the travel expenses regulation, the less expensive of the two will be paid.
  3. A separate dining fee (equivalent to dinner) will be supplied for the actual cost payment period of the weekly apartment and others using.
